Student Management & Admissions
Every student’s file, from the first admission enquiry to the day they leave: class placement, guardians, documents, previous schooling and fee charges, kept together instead of spread across registers and folders.
What you can do today
Admission wizard
A step-by-step form collects identity, guardians, class placement, previous schooling, documents and fee charges, and shows what is still missing before you save.
Automatic numbers
Admission numbers are issued by the system and roll numbers follow on within each class section, so two clerks never hand out the same number.
Blank admission form
Download a printable blank admission form for families who prefer to fill one in by hand.
Admission enquiries
Log walk-in and phone enquiries with follow-up dates, so a family that asked in March is not forgotten by June.
Student directory
Search by name, admission number, class or section, filter by campus, status, fees or missing documents, and export the filtered list to CSV.
Guardians and siblings
Brothers and sisters share one guardian account, so a parent sees all of their children after a single login.
Private documents
Birth certificates, previous results and photographs are stored privately against the student and opened only through short-lived secure links.
Discipline and achievements
Record incidents with the action taken, and achievements in studies, sport or culture, on the student’s own file.
Leave requests
Parents request leave for their child from the portal, and the school approves or declines it.
Student ID cards
Print ID cards for selected students straight from the directory.
Archive
Students who leave or pass out move off the active lists but stay searchable, with their full record kept for later reference.
Class promotion
Move a whole class up at the end of the year in one go. Each student is promoted, kept in the same class, passed out or marked as left, and every move stays in their class history.
Certificates
Print a school leaving or character certificate as a PDF, filled from the student’s record.
How it works
- 1
Record the enquiry
Capture the family’s details and set a date to follow up.
- 2
Admit the student
Run the admission wizard. The system issues the admission number and the next roll number in that section.
- 3
Link the guardian
A portal login is created for the guardian, or reused if a sibling is already enrolled. The guardian sets their own password at first sign-in.
- 4
Keep the file current
Documents, leave, discipline and achievements are added to the same record over the years.
- 5
Archive on leaving
When the student leaves or graduates, the record moves to the archive with its history intact.

Coming next
Planned, not yet availableThese are on our roadmap. They are not part of the product yet, and we will move each one up into the list above when it ships.
Online applications
A public form families fill in themselves, with entry tests, shortlisting and a waiting list.
Admissions from a spreadsheet
Upload a CSV that fills the admission wizard row by row, for a person to review before saving.
Questions schools ask
Can parents see their child’s record?
Yes. Each guardian gets a login to the parent portal, where they see only the children linked to them: profile, attendance, fees, published results and school notices.
What happens to students who leave?
They move to the archive. They drop out of active class lists, registers and fee runs, but their record can still be searched and opened.
Who can see student documents?
Only signed-in staff with permission to view students. Files are stored privately, never on a public web address, and each view uses a link that expires after a few minutes.
